A client - very organised drainage and landscaping guy - wants a system to do the following with his sub-contractors. I'm not sure whether there's anything out there already that's relevant, or whether something custom will need to be made:

Access all client data - name, address, tel, email, previous project info (inc. details, cost etc.), current project info. This is being typed into Excel at the moment, so system will need to import this data;

Add new project (with unique sequential project number) with requirements including phasing and dates;

Email current project requirements to sub-contractors;

System contacts sub-contractors by email as phase completion dates are approaching;

Allow sub-contractors to access system and notify when phases are complete.

Any thoughts?

Something in the cloud for a small business? Zoho.com projects?

I'm trialling some of their ready made apps for equipment control. I didn't even know these things existed!! Its like Filemaker but even easier

Why does everyone do lists in separate excel documents anyway? I'm not sure they are using it right. I don't really understand it but at least Iknow what is efficient.

primavera p3 planner is an industry standard in terms of tracking a project. whether it can log contact info is another matter

Resist the temptation to over-complicate this with a heavyweight solution as the requirements stated are very simple. There are many project collaboration tools that can offer this with a hosted solution for a very low cost - some in fact are free! You will be better off searching for project collaboration solutions rather than project management.

Other than that a straightforward Microsoft SharePoint site could do this really easily.

Would recommend Netsuite as a good program for a small business.

Personally have found it quite flexible and intuitive to use.

It is cloud based and has close ties to Oracle without being like the clumsy beast that Oracle can sometimes be.

I'm currently evaluating Podio. The feature of clients being team members is one attraction. Plus it's very customisable with apps.

I've tried: basecamp, deskaway and do.com None of them look as good as Podio.
